Terms & conditions

These terms and conditions are between you and Poise Reformer Pilates (referred to below as “us", "we", “Poise”, “Poise Reformer Pilates” or "our"). You agree to them by using our website, accessing our services or attending an appointment.  It is recommended these are read along our Privacy Policy. If you have any questions regarding these terms please contact us. 

Late cancellations, rescheduling and ‘did not attends’ policy

You must inform us at least 24 hours in advance if you need to cancel or reschedule your session. You can do this directly by emailing liz@poisereformerpilates.co.uk or via your booking confirmation email. If 24 hours or more notice is given you can opt to receive a full refund or reschedule the appointment. If you don’t provide us with the required notice of your cancellation, you may be charged the late cancellation fee – equivalent to the full fee for that appointment. Missed appointments– or what we call ‘did not attends’ (DNAs) – also result in a charge for the full cost of that appointment.

PLEASE NOTE: If you cancel due to developing suspected COVID-19 symptoms or have been in close contact with someone with COVID-19, you will receive a full refund even if this is within 24 hours of your appointment. Please provide as much notice where possible. As government COVID-19 guidelines change frequently, if we have to cancel your appointment due to such scenarios we will ensure you get a full refund and we shall provide as much notice as possible.

Attending your appointment – ‘running late’

Please arrive no sooner than 5 minutes early to your private session – please notify Poise Reformer Pilates by calling or texting the number I will provide to you on booking. We understand that sometimes you may be running late. If you are late to your 1 to 1 appointment, your session will end at the time originally planned. For example if you are 15 minutes late to a 45 min appointment, you will have a 30 minute session left. On the rare occasion that we are running late we will do our upmost best to make this back to you. 

Payment 

We aim to keep session prices low. Sometimes we may need to increase prices. Should this need to happen we shall provide you with as much notice as possible. All appointments are paid for in advance via BACS or via ‘Timely’ using ‘Stripe’.

Gift vouchers & packages expiration policy

All Poise Reformer Pilates session packages and gift vouchers are subject to the terms of their validity period. Gift vouches must be used within 1 year of date of purchase and can be redeemed by contacting Poise directly. Packages must be redeemed within 6 months and can be purchased and booked by directly contacting Poise.

Exchanges and returns policy

All Poise Reformer Pilates packages & gift vouchers are non-refundable or exchangeable. All sales are final.

 

Safety notes and what to wear

Pilates equipment, including the Allegro 2 Reformer, can be dangerous if not used properly. You must inform your instructor if you are ever unsure at any point within your session. Your instructor is a chartered physiotherapist specialising in Pilates and therefore skilled in observing how you are moving  (Qualifications of your instructor are available to view live on the APPI instructor directory). However, we cannot feel what you feel and therefore, if you are in pain, unsure or if something doesn’t feel quite right you must notify us.

We ask everyone to wear non-slip socks or bare feet when using the Pilates Equipment. If you are unsure on what to purchase please just ask. Please wear comfortable clothes that you are happy to exercise in. It is important to be aware that wearing large jewellery can be dangerous whilst using Pilates equipment and we may ask you to remove this as a precaution. A document titled ‘Guidance on attending your Pilates session’ will be emailed to you securely before attending your first session.

 

Paperwork 

Every new client will be required to complete and sign 3 forms prior to attending their first session; ‘Health screening questionnaire’ (including COVID-19 screening questions), ‘Consent to your Pilates session during the Coronavirus outbreak’ & reading the ‘Guidance on attending your Pilates session’. This is standard practice and non-negotiable. The forms are to enable us to provide suitable Physiotherapy led Pilates. These forms will be emailed securely to you before your first session with us. Please read our Privacy Policy if you are unsure about where this data goes.  We keep Physiotherapy notes on every 1 to 1 session. If you would like to have a copy of these notes please send a signed letter to our registered address and include exactly what information you would like to receive. We shall comply within one month.

If you would like us to send a copy to anyone else please provide their name and email. These notes will be sent securely via an encrypted email. We will copy you into it so you know it has been sent. As the email will be encrypted you may have to sign up to Egress (this is free). 

Harassment policy

We think and act with positivity, consideration and mutual respect for others. Rude or aggressive behaviour and words towards any Poise Reformer Pilates staff member or fellow client will not be tolerated. Such behaviour may result in you being asked to kindly leave the session.

 

Children’s policy

Poise Reformer Pilates currently only offer sessions for those aged 18 years and above. In the event of unforeseen circumstances where you have to bring your child to the studio, you are responsible for supervising your child.

How to make a compliant 

We would hope that you are happy with the service we provide. However if you are not please contact us and we will try our best to fix it. 

Making changes to this agreement 

Our terms and conditions will always be visible on our website for you to view at any point. 

On the rare occasion, we may make changes to our terms and conditions. If we do, we shall contact you via email to notify you of the changes and we shall clearly indicate where these changes have been made. If we do not hear from you, we will assume you are happy with these changes.
